01Overview

Aerodome Holidays("we", "us") is the data controller for personal data collected through this website. This policy explains what we collect, why, who we share it with — including the channel partners who handle your enquiry — and the rights you have. We aim to collect the minimum needed to plan a journey well.

02The data we collect

When you submit an enquiry or quote request, we ask for:

• your name, email address and phone number;
• your country and city (used to match you with your nearest channel partner);
• trip details — number of travellers, tour or destination of interest, preferred months or dates, approximate budget and any special requests;
• how you heard about us, and your marketing consent choice.

If you subscribe to the newsletter we collect your email address only. If you contact us by phone, WhatsApp or email we hold the correspondence. We also collect limited technical data (device, pages viewed) via cookies — see the Cookie Policy.

03How we use your data

We use your personal data to:

• respond to your enquiry and prepare a personalised quote;
• route your enquiry to the most suitable Aerodome channel partner, normally the accredited channel partner nearest to your location;
• manage the lifecycle of your enquiry — follow-ups, reminders and quality checks on the service our channel partners provide;
• send you the newsletter or offers, only where you have opted in, and always with a working unsubscribe;
• improve the website and measure marketing performance.

Our legal bases are: taking steps at your request before entering a contract (handling your enquiry), legitimate interests (running and improving a travel business), and consent (marketing, non-essential cookies).

04Who we share it with

Channel partners. This is the important one: when you enquire, the details you submit are shared with one vetted Aerodome partner channel partner so they can contact you and plan your journey. Channel partners may only use your data for that purpose and must protect it under their agreement with us; they may not sell it or use it for unrelated marketing.

We also use service providers who process data on our instructions — hosting, email delivery, analytics — and we may disclose data where the law requires. We do not sell personal data, ever.

05How long we keep it

Enquiry records are kept for up to 24 months after your last interaction, so your channel partner has context if you return to a plan. If you book a journey, booking records are retained for 7 years to meet accounting and legal obligations. Newsletter data is kept until you unsubscribe. We delete or anonymise data when it is no longer needed.

06Your rights

Under UK GDPR (and equivalent laws where you live) you may:

• request a copy of the personal data we hold about you;
• ask us to correct inaccurate data or delete data we hold;
• object to or restrict particular processing;
• withdraw consent at any time (for example, marketing);
• complain to the UK Information Commissioner's Office (ico.org.uk).

To exercise any of these, email us — we respond within one calendar month.

07International transfers

Because our channel partner network spans multiple countries, your enquiry may be routed to a channel partner outside the UK or EEA. Where that happens we rely on appropriate safeguards, such as contractual clauses approved for international transfers, and share only what the channel partner needs to handle your enquiry.

08Security

Data is transmitted over encrypted connections and stored in access- controlled systems; access inside Aerodome and the channel partner network is limited by role. No system is perfectly secure, but if a breach ever affects your data we will notify you and the regulator as the law requires.

09Changes to this policy

We may update this policy as the service evolves. Material changes will be flagged on this page, and the "last updated" date above always reflects the current version.
